5 Essentials Your Virtual Assistant Must Have

What’s the secret to success for many AU SMEs? Hiring virtual assistants (VAs).

Virtual assistants enable you to focus on growing your business by taking routine administrative tasks off your plate. In addition, many VAs possess unique skills that might be scarce within your geographical area.

The best part? They have lower overhead costs as they come with their own remote work equipment.

When hiring a VA for the first time, make sure they’re well-equipped to maximise efficiency and productivity.

For starters, here are some essential tools your virtual assistant must have.

Their Own Computer/Laptop

One of the most essential tools your virtual assistant must have is a computer/laptop that’s suitable for the job.

Although most VA tasks aren’t CPU-intensive, certain assignments like graphic design or video editing are.

Thus, their computer/laptop’s processor must be at least an Intel Core i5 or Ryzen 5. However, the recommended processor is usually an Intel Core i7 or Ryzen 7 if you need your VA to carry out CPU-intensive tasks like the ones mentioned above.

In terms of Random Access Memory (RAM), the minimum requirement is 8GB, but the ideal is 16GB.

For internal storage, your VA’s computer/laptop should ideally have a Solid State Drive (SSD) as it offers faster performance and is shock resistant. Its capacity for storage should be 256GB and above.

Pocket Wi-FI

Having a fast and reliable internet connection is vital to remote work.

That said, internet in the Philippines isn’t exactly the fastest, nor the most reliable.

Despite improvements last year, the Philippines’ mobile internet speed continues to lag behind its neighbors.

Thus, many VAs have a pocket wi-fi as a backup connection just in case. These are portable wi-fi routers that provide wireless internet wherever they are so they can still get things done.

Virtual Private Networks (VPNs)

In today’s world, data security is paramount.

That said, there may be instances where your VA would have to work in areas with public or unsecured networks. These are prone to cyber-attacks, which can jeopardize sensitive information.

Additionally, some platforms they need to access might be exclusive to AU users, which can be problematic if you’re outsourcing to the Philippines.

Fortunately, these won’t be a problem if your VA uses a Virtual Private Network (VPN).

VPNs provide a secure connection when they’re using public Wi-Fi, protecting them from potential threats. In addition, VPNs allow users to connect to servers from other countries and access region-specific content.

A Good Headset

One often overlooked yet essential tool your virtual assistant must have is a good headset.

These must have noise-canceling features and a high-quality microphone so you can understand each other clearly during video calls and online meetings.

A Reliable Webcam

Aside from a good headset, a good webcam is also useful for virtual meetings.

A good webcam should offer at least 720p (HD) resolution to ensure clear and sharp video quality.

In addition, it must have an autofocus feature and an adjustable field of view (FOV) so they can customize the framing of the video.

Most quality webcams also come with an automatic light correction feature so they can adjust to various lighting conditions.

Having the Right Tools is Half the Battle

Having the essential tools is conducive to productivity and by extension, equips your VA to contribute more to your business’ success and growth.
